With the introduction of TimeTac, our employees were given the opportunity to manage their working hours flexibly. Despite the high degree of flexibility, we always maintain an overview of working hours, overtime, compensatory time off and vacation entitlement – even when working from home.

The challenge
Working from home – yes, but without Excel

Until now, the Voodoo Marketing team recorded working hours using Excel and handwritten notes. As the company grew and the number of employees increased, the administrative workload also rose. Time tracking via Excel soon proved cumbersome and inefficient. In addition, manual recording and management of working hours could not meet the company’s requirements for flexibility. The hybrid working time model “Office & Home Office” prompted Managing Director Alfred Zeiselberger to consider online time tracking:

“A real baby boom in our company has meant that employees occasionally work from home during parental leave. That was the point at which we decided that simple and flexible working time documentation had to be introduced.”

Experience showed that working time records via Excel were inaccurate and based on estimates. The overview of hours worked – whether from home or in the office – was lost. Absences, such as vacations, were also not taken into account by Excel time tracking. As a result, it became more difficult and time-consuming to monitor compliance with legal requirements for working hours. Another reason for Alfred Zeiselberger to introduce clear and accurate working time tracking.

The solution
Maximum transparency and minimal effort

TimeTac’s web-based time tracking system offers the company maximum flexibility. Whether in the office or working from home, working hours can be started and stopped easily with a single click. The Voodoo Marketing team benefits from simple and intuitive handling.

The administrative workload is low, as recorded working hours and breaks as well as absences are immediately accessible for administration. This makes it easy to keep track of live working hours, attendance, projects currently being worked on, as well as vacations and other absences. Administration has all information at a glance and benefits from transparent working time records – even for employees working from home.

In the hours statement, which is automatically created for each person based on the default settings for the working time model, violations of the Working Hours Act are shown. Compliance with legal regulations can therefore be checked easily and quickly.

The result
A clear and easy-to-use time tracking system

The time tracking system meets all of the company’s requirements for time tracking: simple and intuitive operation, unrestricted transparency even for employees working from home, low administrative effort, and easy monitoring of legal requirements.

According to Alfred Zeiselberger, administration benefits in particular from the clear views in TimeTac, such as the vacation calendar. Working hours are now recorded using the simple start/stop function via laptop, PC and Mac. Although the introduction of a time tracking system was initially met with skepticism, working hours are now recorded willingly. Above all, the overview of one’s own working hours, overtime, vacation entitlement, etc. ultimately convinced the Voodoo Marketing team.
